Registration Information 

What’s included in my institution registration fee? 

Your registration fee includes:

  1. Friday 03/25- dinner
  2. Saturday 03/26- breakfast, lunch and dinner
  3. Sunday 03/27- breakfast  
  4. Lodging for 2 nights
  5. Transportation from hotel to conference rooms 
  6. All materials and resources distributed at the convening

What is the registration deadline? 

To ensure the planning committee has time to accommodate all guests, the registration deadline is January 28, 2022.

What is the registration cancellation policy? 

If you are no longer able to attend the convening you can have someone else from your institution attend on your behalf. If no one else is available to attend you can cancel your registration by February 4, 2022 for a full refund. 

Can I send a substitute in my place if I cannot attend the convening? 

Yes, you can send a substitute in your place. If you need to make registration changes please contact Luz Bertadillo at luz@presidentsalliance.org.

Accommodations

Accessibility and Accommodations

The Americans with Disabilities Act (ADA) § 36.203(a) states that “A public accommodation shall afford goods, services, facilities, privileges, advantages, and accommodations to an individual with a disability in the most integrated setting appropriate to the needs of the individual.”

We will be sending participants a form that includes questions about accessibility and other special needs, such as allergies. The SUCCESS Convening committee will follow-up with any attendee who answers “yes” in these categories.

Additionally, we have the following accommodations, among others, in place. If you have questions or need to request a particular accommodation, please contact Luz Bertadillo at luz@presidentsalliance.org.

  • The event locations the SUCCESS Convening selects are ADA compliant.
  • Doors to all meetings will be propped open.
  • Staff, volunteers, and temporary workers are instructed to be on the lookout for attendees who may need assistance and escorts.
  • There will be gender neutral restrooms located throughout the event space. You can find the specific locations of gender neutral bathrooms in each building, here.
  • Attendees will have access to a nursing lounge/lactation room, if needed.

How do I make a hotel reservation? 

We will be making hotel reservations and arrangements on your behalf at either of our two locations. The Inn at Swarthmore or Fairfield Inn & Suites (a Marriott Hotel). We will be sending participants a form that includes questions about hotel logistics.

What is the recommended arrival airport? 

The recommended arrival airport is Philadelphia International Airport. 

General Convening Information

What is the exact location of the convening? 

The convening will be held in different buildings within close proximity at Swarthmore College 500 College Ave, Swarthmore, PA 19081. 

What if I want to attend but my institution was not invited?

We are thrilled to know so many people are interested in attending this important event. Unfortunately, because of Covid-19 protocols and capacity limits, the event is restricted to the select institutions we invited. However, we are creating a waitlist for those who are interested, so we can add you if room permits and you are interested. We will also keep track of those interested in attending for future events. What if we want to bring more than the 3 person limit of participants? 

Due to Covid-19 protocols and the intentionality behind including 3 different perspectives in the convening, we can only accommodate 3 participants per institution. However, we are creating a waitlist for those that are interested that we can add you to. Please contact Luz Bertadillo at luz@presidentsalliance.org if you are interested. 

How many people are expected to attend the convening? 

We anticipate anywhere between 150-175 people.

Can I see what sessions will be presented before I arrive on site?

Yes, you can find the agenda here. You will get more details of each session soon, including speakers biographies and workshop descriptions. 

What is the attire for the conference?

Attire at the SUCCESS Convening is business casual. Wear comfortable shoes as we may also have some sessions or lunch outdoors. We recommend dressing in layers as air conditioning is difficult to regulate in large facilities. Rooms may be overly warm or cool.

What time will the convening begin and end each day?

The SUCCESS Convening schedule is as follows:

  • Friday March 25, 2022 – will start at 2pm EST and end at 9:00 pm EST
  • Saturday March 26, 2022- will start at 8 am EST and end at 8:30pm EST
  • Sunday March 27, 2022- will start at 8am EST and end at 10am EST     

What happens if Covid-19 conditions change? 

The planning committee continues to monitor COVID-19 updates, CDC guidelines and recommendations, and will follow all of Swarthmore College’s Covid-19 protocols, which you can find here. If necessary, we will make changes accordingly and notify all participants if there is a need to postpone the convening to a later date.

What other steps do I need to take after submitting my registration? 

We will be sending you an email with updates, two questionnaires, and Covid-19 information.
